We are a company registered in England and Wales, company number 16520490, registered office Tanglewood, Brimpton Lane, Brimpton Common, Berkshire RG7 4rx. We are registered with the Information Commissioner’s Office (ICO), registration number ZC044436 .

If you have any questions about this notice or your information, please contact Rebekah at rebekah@theinclusiveheadteacher.co.uk.

This notice covers our website, The Five Pillars of Inclusion Assessment Tool, our mailing list, and our work with schools. It also applies to The Inclusive Business and The Inclusive Parent.

What information we collect

  • When you get in touch with us: your name, email address, phone number, school or organisation, and anything you choose to tell us in your message.

  • When you complete The Five Pillars of Inclusion Assessment Tool: your name, email address, school, role, and your results for each pillar.

  • When you join our mailing list: your name and email address, and which emails you open or click.

  • When we work with your school: contact details for the staff we work with, and the information needed to invoice the school.

  • When you visit our website: basic technical information such as your device, browser and the pages you visit, collected through cookies (see Cookies below).

We do not ask for, and do not want, information about individual children through our website or the assessment tool.

How we use your information, and why we are allowed to

UK data protection law says we must have a lawful basis for using your information. Ours are:

  • Replying to your enquiry: legitimate interests, because you asked us to get in touch.

  • Sending your assessment results and the one-page overviews: consent, because you ask us to send them when you complete the tool.

  • Sending emails about our work, events and services: consent, which you can withdraw at any time.

  • Delivering and invoicing the work we agree with your school: contract.

  • Keeping financial records: legal obligation.

  • Understanding how our website is used, so we can improve it: legitimate interests, and consent where cookies require it.

We never sell your information, and we never use it for anything you would not reasonably expect.

The Five Pillars of Inclusion Assessment Tool

When you complete the assessment tool and give us your details, we keep your name, email address, school, role, your result for each pillar, which pillar showed your biggest gap, and the areas of the barriers you named.

We use this to:

  • send you your one-page overviews and a summary of your results

  • send you a small number of follow-up emails about inclusion and how we could support your school, if you agree to receive them

  • understand common themes across schools, so we can shape our training and resources. Any themes we share are anonymised, and no school is ever named.

Your answers to the individual statements stay on your own device and are not sent to us. Your answers are about your school’s practice, not about individual pupils or staff. Please do not include the names of children or staff in anything you type into the tool.

You can ask us to delete your assessment results at any time.

Who we share it with

We only share your information with trusted services that help us run the business. They act on our instructions and must keep your information secure.

  • Squarespace: hosts our website.

  • Netlify: hosts the assessment tool.

  • MailerLite: stores our mailing list and sends our emails.

  • Xero: our accounting and invoicing.

  • Google Workspace: our business email.

  • Google Meet and Zoom: online meetings, mentoring and training.

We may also share information if the law requires it.

Some of these services store information outside the UK, for example in the European Union or the United States. Where they do, they use safeguards approved under UK law, such as the UK International Data Transfer Addendum or the UK-US Data Bridge, so your information has the same level of protection.

How long we keep it

  • Enquiries that do not lead to work together: 2 years from our last contact.

  • Assessment tool results: 3 years, or until you ask us to delete them.

  • Mailing list details: until you unsubscribe. After that we keep only your email address, so we do not contact you again.

  • Client records and invoices: 6 years after the end of the financial year, as required for tax purposes.

When we no longer need your information, we delete it securely.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you

  • ask us to correct anything that is wrong or incomplete

  • ask us to delete your information

  • ask us to limit how we use your information, or object to us using it

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Cookies

Children’s information

Our website, assessment tool and mailing list are for adults: school leaders, staff and parents. We do not knowingly collect information from children through them.

When our work with a school involves information about pupils, such as during an audit, we handle it on the school’s behalf, under the school’s instructions and its own privacy notice. We keep it to the minimum we need, store it securely, and return or delete it when the work ends.

Changes to this notice

We will update this notice when the way we use information changes. The latest version will always be on our website.
